Description:

The Williams Institute, a think tank dedicated to sexual orientation law
and public policy at UCLA School of Law, seeks an Administrative
Assistant to support its Executive Director and development and
education activities. The Assistant will perform general administrative
and secretarial support duties and provide specific assistance with
education and development events. The Assistant will help publicize all
events, track RSVP's and ticket requests, and help with all event logistics.

In addition, the assistant will compose and edit business
correspondence, maintain the Institute's calendar of meetings, projects,
etc., make travel arrangements for Institute staff and guests, and track
expenditures for all programs. The assistant will also be responsible
for maintaining and updating the Institute's website.

Qualifications

BA degree required; advanced degree or non-profit work experience
preferred. Qualified candidates must take initiative, follow up
effectively, exercise sound judgment, and be organized, self-motivated,
and flexible. A qualified applicant should be able to plan and complete
projects under general supervision, set priorities effectively, handle
multiple tasks at once, keep track of details, and meet deadlines.
Applicants must demonstrate initiative and creativity in communication
and problem solving. Applicants should have a passion for the work of
the Williams Institute and advancing LGBT rights more generally.
Applicants should have demonstrated experience in organizing events and
programs, including enlisting and managing volunteers. Strong
interpersonal communication, writing, and verbal skills required
(bilingual a plus). Demonstrated experience in establishing and
maintaining complex filing systems, maintaining spreadsheets, tracking
data, scheduling appointments, arranging meetings and special events,
and maintaining complex office calendar required. Applicant must have
the ability to establish and maintain professional working relationships
with supervisors and coworkers. The Assistant must be able to work
evening and weekend hours as necessary for events and programs.
Candidates should be able to effectively work with Word, Outlook, Excel,
Frontpage, Access, Adobe, PowerPoint, and Quark and to conduct online
research.
