Just letting you know. See you at 5 in Mod 38 for band choosing. -Joanna From bdv06 at hampshire.edu Fri Oct 10 10:16:27 2008 From: bdv06 at hampshire.edu (Brian Van Slyke) Date: Fri, 10 Oct 2008 10:16:27 -0400 Subject: [Coca] FW: COCA & HALLOWEEN: contacting student groups, urgent! - and reminder of meeting tonight! Message-ID: <001901c92ae2$cbeea540$63cbefc0$@edu> (Sorry there are a few of these going out, I suck at e-mails) Hey folks, so - I tried to send this out on Wednesday morning, but for some reason it didn't go out. So, I'm sending it again, except now it's even more urgent for everyone to get on right away. Because the 13th is so close, I'm also saying that we can change the date that people need to have a proposal into us by the 22nd instead (emphasize, though, that it would be much better if they could get it into us before then, though). Here is a list of the student groups: https://hampedia.org/wiki/Student_Groups If there are certain student groups that you would really prefer to contact and work with, e-mail me their names by the end of the night - after then I'm going to just start arbitrarily assigning groups to people. Below is the letter I wrote with all the guidelines. Please stress that right now we only have 2-3 events committed to happening at Halloween (besides the bands) - so if student groups DON'T step up, then that's all there's going to be, and Halloween will be all sorts of lame. Also stress that student groups will not have this coming out of their budgets, but the expenses will be paid by COCA. Also, if there are individuals who want to do something separately from a student group - that's also totally cool, the only thing we need to figure out with that is funding. So remember: PLEASE get on contacting these folks as soon as possible! (including over the break! Including this afternoon! Including tonight!) Nag them, bug them, talk with them, generate ideas with them, etc. etc. At the end of this e-mail, I have attached the letter with all the guidelines and etc. Thanks so much, and I will see you all this evening at 5 PM at Mod 38 to do band/music stuff. Sincerely, Brian P.S. I accidentally lost two folks' e-mail addresses in this craziness. If you don't see their e-mails on the list of people this has been sent to, can you forward it to them? Sorry - and thanks. "This year, we (Committee on Community Activities - COCA) are planning on making Hampshire Halloween different. For the past few years, Halloween has been organized by a few core members of COCA and various offices doing their own things. In addition, large sums of money are spent on activities and resources that go underused and could be spent more wisely (such as the bouncy rides and towers). We believe that this is antithetical to what Hampshire College should be doing, and that a celebration as big as Halloween should be a community effort. That is why we are going to be striking several traditional things from Hampshire Halloween in an effort to free up money, resources, and space for established student groups to take the lead in making Halloween a fun, community-driven event. What this essentially means is that we are going to be looking for student groups to put on events, activities, games, haunted houses, food, decorations, performances, and much more. We are looking to the inspiration and creativity of student groups to make Halloween a successful event. COCA will provide the funds for student groups participating in creating Hampshire Halloween. So, this year, what will happen at Hampshire Halloween will depend on what you do for it! If your student group plans on making Halloween possible, please e-mail bdv06 at hampshire.edu BY OCTOBER 22nd. Anything after will not be accepted. However, priority for such things as location will go to those student groups that get their e-mails in sooner. For a student group to participate in Hampshire Halloween, they will need to send an e-mail to the address listed above. The e-mail must follow these guidelines: TO: bdv06 at hampshire.edu SUBJECT: Hampshire Halloween and STUDENT GROUP'S NAME BODY: -Detailed explanation of what the student group intends to do. -Four locations on Campus where this could take place (i.e. the RCC, the Merrill Quad, under the FPH overpass, and so on) - ranked from 1 to 4 with 1 being the most ideal place and 4 being the least ideal. -Materials you will need -An estimate of how much this will cost. -Length of time this event will take (i.e. all night, two hours, etc.) -Anything else you think is important to include. We are very excited to have the opportunity to improve Hampshire Halloween and to make it a more community-driven event. This year, Halloween will depend on the work we all put towards it. I look forward to hearing from you and your ideas. Sincerely, Brian Van Slyke" -------------- next part -------------- An HTML attachment was scrubbed... I hope you are enjoying the break. I wanted to ask you if COCA could put together a Hampedia page about Halloween with all the information possible about budgeting, performances, venues, rules, etc... I want to put Halloween in the spotlight section of the main page asap. Let me know if you need help with putting the information together and getting the page ready.
