[Circulation] INSTRUCTIONS FOR WORKING THIS WEEKEND

This is for students working this weekend:

Aleph is being updated throughout the weekend so you will not have access to
it.  This is what you will do with checkouts and returns:

STACK BOOKS BEING CHECKED OUT:  Manually check these out on the sheets on
the clipboard.  Be sure to log the patron's name AND barcode, as well as the
book's title, barcode, and call number.  These items will be checked out to
the patrons as soon as Aleph is back up (probably Monday or Tuesday).  Don't
forget to desensitize the books.

RESERVE CHECKOUTS:  Check out reserve items on the sheets marked Reserve
(next to the left side computer).  Mark the time due back in line with the
transaction.  Cross the transaction off once the patron returns the item.

Janterm reserve items are all shelved at the beginning of the reserve
stacks.  Bev put the cds and videos in that area as well.

HAMPSHIRE RETURNS:  Place all Hampshire returns on the 2 shelves below the
hold shelves (they are marked).  Please do not put them on the reshelving
carts - we do not want to mix the checked in books with the ones that have
not yet been checked in.

FIVE COLLEGE RETURNS:  Put these in piles against the windows.  Areas have
been designated for each school.

CHECKING OUT FIVE COLLEGE HOLDS:  Since you do not have access to Aleph you
will not be able to see what holds are on the hold shelf for a patron.  You
can approach this in several ways.  Since there are only a few shelves of
holds you can search the slips for the patron's name.  Unfortunately not all
institutions insert the paging slips so you may have to ask the patron if he
or she knows the titles.  What would be better would be to see if the patron
still has the hold pick up notice in their email.  They could then provide
you with the call numbers.  Several students have come in looking for books
requested during break.  Gently remind them that books only stay on the hold
shelf for 10 days, and then they are shipped back to their home
institutions.  Patrons may, of course, request the books again once Aleph is
up.

REQUESTING AND RENEWING BOOKS:  Patrons can do neither while Aleph is being
updated.  There is is warning message in the library catalog stating this.

I will leave a copy of these instructions at the desk in case you need to
refer to it while working.
